What should I expect after enrolling my baby?

You will receive a Booking Acknowledgement email with the details of your baby's enrolment, along with some important information about what to/what not to bring into your class, the contact details of your class leader and when/how to get in contact with our team, and suggestions for how you can best support your baby's orientation into our class environment.

Closer to the start date of your enrolment, you will receive a welcome email, with lots of additional information about what to bring, when to arrive, parking, class protocols etc.

Is your baby under 8 weeks old?

We know how important stimulation from birth is for brain development, and we also understand how difficult it can be to make it to class every week with a newborn.  This is why we offer families with very young babies the opportunity to purchase a Flexi Pass.

These are priced at $180 and enable you to attend any 6 classes in a term. There is only a limited availability of these at each of our venues so please drop us a text/email if you're interested in purchasing one.

Multiples?

Please contact us at Geelong-Vic@babysensory.com so that we can enrol your twins/triplets into our classes.  We recommend that a family member attend with each baby and will ensure that mats are available together in your enrolled class. 

Fees for multiples are : full term rate for 1st baby, and a 20% discount for each subsequent sibling attending together.

Interested in casually attending classes?

More often than not our classes are fully booked for the entire term, but occasionally we have last-minute availability for casual classes at a cost of $35 per class - payable at time of booking and will only be available to book on the day and are only available to families who have attended classes in the past or who are on the waitlist.  If you would like to be contacted about classes with casual availability, please register on the waitlist of your preferred class, and email Becc at geelong-vic@babysensory.com.  

Would you like to book a trial to experience our classes?

The option to book a 2-class trial for $66 in our program will only be available once a term has commenced, and only where there is availability within a particular class.  

As disappointing as it is, if the classes are already fully booked, then the option to book a trial won’t be possible. 

Trial bookings are for 2-consecutive weeks only, are non-refundable and cannot be re-booked, transferred, or rescheduled.

Want to enrol but your preferred class time/location is full?

Make sure you add your name to the waitlist as spaces can become available at any time. Adding your name to the waitlist also ensures that you get notified when new classes or terms open. You can also join another class while you wait for a space to become available in your first class of choice, as soon as it does we'll just move your booking over.

 Can I enrol now, to start later in the current term?

Unfortunately no - most of our classes book out in advance of term starting, and where this is not the case, those spaces are available for families to book and join us as soon as they are enrolled into their preferred (and available) class.  

If you would like to start part-way through a term, your best bet is to quickly check our timetable a day or two before your preferred start date to see if there are any spaces available - as it will be your most up-to-date source of information.

 Can older siblings attend as well?

Our classes provide a special one on one learning experience for you and your baby and are specifically designed for babies from birth to 13 months.  There are a number of reasons we do not invite families to bring along older siblings (under the age of 6), the top 3 being:

1.  The older sibling would be unsupervised while you are participating in activities with your baby - so their safety over the course of our 60 minute class could be compromised.

2.  Our classes are filled with incredible experiences including bubbles, lights, music, instruments, dancing, parachutes, balloons, puppet shows (and more!) and we would not expect a younger child to sit quietly in one place for 60 minutes while all of these exciting and stimulating activities were being enjoyed by their parent and baby sibling - they cannot join in, and understandably many toddlers/younger children could become disruptive to the class, or become a distraction for the other parents and babies in the class - therefore impacting the Baby Sensory experience of those enrolled in our program each week.

3.  There is extremely limited space in our venues - in most cases prams are left in the car or are parked in the hallway/storage room away from the Sensory Area (to minimise trip and safety hazards) - so unfortunately constraining a young child in a pram for the duration of the class is not one we would welcome/allow during our activities.

Worried that you might miss a class?

We all have classes that we will be unable to make; maybe you have a holiday planned, you and/or bub are not 100% well, or you’ve just woken up after one of ‘those’ nights.

In order to arrange to attend an alternate class in one of our other locations as a "catch up", our families just need to contact our team (as soon as humanly possible, and at least 6-8 hours before the class is due to begin) so that we can secure your baby a mat in another class within the term/your enrolment period. 

This is limited to a maximum of 2 occasions within a term.

We have always encouraged anyone who is ill to stay home and recover, and that hasn't changed in the current climate - however, if families do arrive at class with any symptoms of illness, we will ask that you head home to recover, both for the health and safety of you and your bub, and for the other families attending classes on that day.

If you are to miss a class within your enrolment period, you then have three options:

Option 1 |  You can attend a class earlier/later on the day, at the venue you normally attend classes - by prior arrangement only.

Option 2  |  You are welcome to join another one of our classes at a different location at any point during your enrolled Term (subject to available places).  These make up classes must be booked and confirmed in advance. 

We will always do our absolute best to accommodate your request based on numbers and capacity limits within the venue (but there are no guarantees unfortunately). 

Please be aware that a missed make-up class cannot be re-booked or re-scheduled.  All make up classes must be attended within the current term or current enrolment period (in the case of 1/2-term enrolments) - and they cannot be carried over into subsequent terms.

Option 3  |  You can gift the class to a friend and their baby who can attend the class you are missing in your place (you must let your class leader know so that this person and their baby is registered and contact details are provided for traceability reasons - ideally a minimum of 1 day prior to the scheduled class). 

Your friend can only attend at your usual venue and class time (not an alternate week).

 In cases where the above options are not feasible, the missed class is then forfeited.  We do not offer refunds or carry missed classes into future terms so you are encouraged to communicate with our team as early as possible.

Given our classes are heavily-booked we rely on families advising us as far in advance as possible of their missed classes so that we can offer these spaces to other families who may require a catch up option for their own missed class.

As such, notification of a missed class, and the process for confirming a catch up class is:

ONE | Email with as much advance-notice as possible (minimum of 6 hours) so that we can offer your space to another family who may be seeking a catch-up class. 

(TWO) | If you have a friend/family who you wish to send in your place, please email their details through once you have confirmed with them - we require all standard enrolment information in order to book a friend/family member into your baby's space in your missed class (full name, contact details, baby's DOB). 

THREE | Our team will then confirm the availability of classes for the following fortnight and which you and your baby can book into as a make up for your missed class.

This should be agreed prior to your missed class, but understandably, in some cases confirmation of a future make-up class may be delayed until our team has finished running classes themselves.

Need to transfer into an alternate class or cancel your enrolment?

When you enrol your baby in our classes, you are securing their space in their class each week for the period of your enrolment.

Minimum-term applies to all enrolments - the minimum term is 5 weeks (1/2-term) from when your first class is held and this amount ($125 inc GST) is non-refundable.

If you wish to cancel your baby's enrolment after the minimum term of 5 weeks; you can do so by providing a minimum of 2 weeks (2 classes) notice, and a cancellation fee of $24.50 will be deducted from the remaining value of your enrolment fees.

Enrolments/missed classes cannot be deferred to a future term.

If you need to transfer into an alternate class (time/day/location) within the Baby Sensory Greater Geelong, Bellarine Peninsula & Surf Coast VIC territory, we will always do our very best to accommodate this request - but it is subject to availability within your preferred class time/day/location. 

Requests for transfer should be emailed to Geelong-Vic@babysensory.com with all applicable information so that we can best investigate availability and alternate options.

Enrolled in one of our Special Events and worried you now can't make it?

Fees for Special Events are non-refundable and non-transferrable.

If you need to transfer into an alternate special-event class being held on the same day or weekend/week, we will always do our very best to accommodate this request - but it is subject to availability within your preferred class time/day.  Requests for transfer should be emailed to Geelong-Vic@babysensory.com with all applicable information so that we can best investigate availability and alternate options.

 

Would you like to arrange to pay your enrolment fees in 3 instalments?  Here's what you need to know:

  • A $12, non-refundable admin fee applies to all instalment-plan enrolments.
  • Instalment arrangements are only available for full-term enrolments made prior to the term commencing.
  • Enrolments will only be confirmed upon receipt of the first payment.
  • First payments must be receipted prior to term commencing, or within 24 hours of booking - whichever is sooner.  This amount is non-refundable.
  • If first-payments are not receipted within the terms of our instalment arrangements, the space will be automatically allocated to another family without notice being provided.
  • An email will be sent on the Sunday of Week 3 and Week 7 of the applicable term, reminding families of their payment obligations - this payment is due within 24hours of this email being sent.
  • It is the individual's responsibility to ensure that payments are made per their payment schedule.
What Happens if I miss a payment?
  • Your enrolment will be rescinded on the date the payment was due, and your space within the class will be allocated to our waitlisted families.

Payment Schedule

First Payment : 50% of full-term + $12 admin fee - due within 24 hours of booking & before term commences

Second Payment : 50% of remaining value of term - due on Monday of Week 3 of term

Final Payment : Remaining value of term - due on Monday of Week 7 of term

How do I arrange an instalment-plan?

To arrange for your baby to be enrolled in our magical classes, and to activate an instalment plan; you must email our team on Geelong-Vic@babysensory.com as our booking site does not offer the functionality to automate this.  We will then manually enrol bub and set up the instalment plan so that you can start at the beginning of term!
